Administer: accounts, updates, logs

Looking for your license, for backups and retention periods, or for the configuration file and the firewall? See Your license and subscription, Protect and manage your data and Advanced settings.

This page explains how to give people access to Noviscan, keep it up to date, and read its logs.

Before you start: an administrator account for most of these steps; two-factor authentication and updates are open to every account.

The four roles

Role What it adds
Viewer Look at the screens without changing anything, install an update, turn on two-factor authentication for its own account.
Operator Name faces, manage the whitelist and groups, handle alerts.
Administrator Open the Users, License, Logs, Activity, Backup and Advanced tabs in Settings, and use the Support button.
Owner Manage administrator and owner accounts. An administrator can only manage operators and viewers.

Each role includes what the one before it can do. The account created at installation is the owner. Free allows 1 account, Premium 10. See Your license and subscription.

Invite someone

On Premium, you invite a person by email.

<!-- IMG I9-01 : Settings, Users tab, with a pending invitation -->

  1. Open Settings, Users tab.
  2. Click Invite a user.
  3. Type their Email address and choose their Role.
  4. Click Send the invitation.

A green banner says Invitation sent to address. The person gets an email with a link that works for 7 days. They choose a password there and click Create my account. Until then they show as Invited — pending, then Active.

If the banner is orange (Invitation created for address, but the e-mail could not be sent — check the SMTP configuration.), the email didn’t go out. Set up email sending (see Advanced settings), then try again.

To skip email, click Create an account directly, give a Temporary password, and click Create the account. The person changes it at first sign-in.

On Free, both buttons are grayed out. Beyond 10 accounts, Noviscan refuses the addition.

Change a role, deactivate or delete an account

On the Users tab, change the role from the menu on the account’s row, where you also find Deactivate (then Activate) and Delete. Noviscan asks you to confirm: Delete the account "address"? You can’t act on your own account.

Protect an account with a code

Two-factor authentication adds a code after the password, supplied by an authenticator app such as Google Authenticator or Authy. It exists on Free as on Premium; each person turns it on for themselves.

  1. Open Settings, Security tab, Two-factor authentication section.
  2. Click Enable two-factor authentication.
  3. Scan the QR code with your app.
  4. Type the Verification code your app shows, then click Confirm.
  5. Write down the Backup codes that appear, then click I have written down these codes.

⚠️ These codes appear only once, and each works only once. If you lose your phone, they are your only way back in.

From then on, Noviscan asks for a code at every sign-in: Enter the code from your authenticator app, or a backup code. Regenerate backup codes and Disable are in the same place.

Update Noviscan

When Internet access is ticked (Settings, General tab), Noviscan downloads new versions about every six hours, but never installs one without you.

  1. Open Settings, General tab, About section.
  2. Click Check now, then Download the update if a version is offered.
  3. When the update is reported as downloaded and verified, click Install and restart and confirm.
  4. Grant the permission Windows asks for.

Noviscan closes, installs, and reopens. You stay signed in and no data is erased.

When Internet access is unticked, online updates are off: Updates not checked: outbound Internet is disabled. Noviscan then won’t tell you about any new version, security fixes included.

Read the logs

Only administrators can read the logs. Open Settings, Logs tab, and choose the Number of lines: 100, 500, 1000 or 2000. For more detail, change the Logging level in Settings, Advanced tab, Logging and sessions section. The change applies right away.

The Activity tab lists the actions taken on your Noviscan, and the Login log is in the Users tab. To find out how long logs are kept, see Protect and manage your data.

Send your logs to support

No button saves the logs to a file. To send them to Secufor, use the Support button at the top right.

  1. Click Support and write your message.
  2. Leave Include a copy of the logs and Scrub personal data from the logs before sending ticked.
  3. Read through the logs, delete anything you don’t want to send, then click Continue and Confirm sending.

Even scrubbed, they can still contain IP addresses or people’s names. With no email channel, Prepare the email creates a message to send yourself. Details in Fix a problem and get help.

If it does not work

  • The Users, Logs or Advanced tabs are missing: your account is not an administrator.
  • Invite a user is grayed out: you are on Free.
  • This invitation link is invalid or has expired. It lasts 7 days: send a new invitation.
